Document management poses significant challenges for companies, with documents often scattered across various employees and versions, leading to inefficiencies and wasted time. Recognizing these issues, our client sought to develop a service to streamline and automate document management processes.

To address these challenges, we proposed the following plan:
1. Conduct market and competitor research. 2. Execute CustDev interviews to understand user needs. 3. Define necessary features based on Job Stories. 4. Develop an MVP and gather user feedback.
PRODUCT DISCOVERY To validate the idea, we analyzed the LegalTech and Electronic Document Management (EDM) market.
Market research revealed a growing demand for automation and standardization in business processes, particularly among small businesses lacking accessible solutions.
CUSTDEV Through 12 interviews with lawyers and executives, we identified key user needs and developed Job Stories to guide product development. This helped clarify the necessary functionalities to make the product beneficial.
DESIGN We opted for an MVP approach to mitigate time and resource risks. Key features included:
- Document creation from templates. - Standardization and automation of document approval. - Document archive with search and filter capabilities.
MVP DEVELOPMENT The MVP comprises two essential components: a user service developed using React and an admin panel powered by Strapi.
The admin panel serves as the control center for managing the service, facilitating tasks such as client management and template creation to cater to diverse user needs.
Within the user service, we've implemented the following key functionalities:
- Document status viewing on the "desktop," complete with filtering and search capabilities. - Clicking on a document in the list opens a sidebar displaying its status, parameters, associated tasks, and editing options. - Streamlined document creation process: Users select the document type, input parameters, and receive the completed document generated from a template automatically. - The archive serves as a repository for inactive documents, featuring search and filtering functionalities for easy retrieval. - User settings enable collaboration by allowing users to add colleagues to work on documents. Personal data management and colleague addition for document collaboration can be done through the "User Settings" tab.
